Subject: Scheduling the film
Date: March 13, 2006
We'd better rearrange the showing schedule for next weeks film.
As you know, we are going to show the film, The Smiths, next week in the projection room, which holds only fifty people comfortably without overcrowding. It is not big enough for the whole staff to see the film at the same time. So I suggest we show the film in different times. For example, we can arrange 40 people to see the film there on Tuesday at 3:00 p.m., and the remaining 40 on Thursday at the same time.
If there's any problem about this arrangement, please let me know.

Directions: Someone put forward a proposal to adopt the “punch in” system in her memo in June 12, 2006. Write a memo to her with the information below. Your memo should be in no less than 100 words.
To: Mr. Brown manager of operations
From: Betty Green Supervisor
Subject: comments on the "punch in" system
Date: September 21
This is further to your memo dated back to June 12, 2006, in which you proposed that the employees adopt the “punch in” system.
I fully agree with you that we should take measures to increase the productivity and that we would a tighter control over the employees if the “punch in” system is adopted. However, honestly speaking, I don't think that adopting a tighter system will increase productivity. The most effective way to increase productivity, in my opinion, is to give the employees more incentives to work. I think we could further discuss other possibility of achieving this goal.
Your consideration of this suggestion would be highly appreciated.
1. 在date, to, from, subject字样后填上相应的内容。
例1、 Directions: Write a memorandum of about 100 words to the student service department
and ask them to fix a telephone for each dormitory.
August 16, 2005
To: The leader of student service department
From: Li Ming
I would like to remind you that we are in want of a telephone for each dormitory. As a university student, we need to cope with the daily increasing communications with teachers, friends and people outside the campus.
We need a telephone to get and send message, which is important for us. Though most of us have mobile phones and e-mail address, a telephone in the dormitory is after all the most convenient and cheapest tool of communication. I hope that you will pay attention to this problem and solve it as soon as possible.
注：“remind”一词用法比较多，可以在后面直接接人或宾格，如“提醒我”译为“please remind me”。如果提醒某人某事则用“remind somebody of something”，也可以在后面加从句，即“remind sb that”，“remind”还有一个意思为“使想起”同样用“remind?of?”的结构，应注意与提醒某事区分。
例2、 Directions: You are supposed to write a Memorandum of about 100 words to the leader
of the supply section to borrow one more microscope for your biological experiment.
It should include:
1) Why you need the microscope.
2) When you need it.
August 12, 2005
To: Mr. Gates, leader of the supply section
From: Li Ming of the biological laboratory
I'm a student of biology department and we are badly in need of an extra microscope in order to improve our experimental work.
Our experiment will start on Friday, so please issue a microscope to us as soon as possible so that we can prepare better for the experiment.
With kind regards.
注：在写备忘录的时候，一定要注意它的格式，尤其要在开头写清楚是谁写给谁来备忘的，用“From: ／To:”两个单词即可。文中的“badly”是“非常的，迫切的”意思。短语“in order to”同下句的“so that”意思是一样的即：为了，目的是。不同的是前者后接动词原型而后者常跟目的状语从句 ，类似的短语还有“in order that”，用法与“so that”相同。
例3、 Directions: If you are the teacher of the students' Counselors office: P. steeples,
and you have received a letter for requesting for paid education leave from a student. Write him a memo to reply him including details:
1) The result of his requirement.
2) The reason for rejecting.
3) some suggestions
You should write about 100 words.

Subject: Request for Paid Education Leave
Date: May 22, 2005
In response to your request for one year of paid education leave to take a degree in English literature, I have to inform you that we cannot authorize this leave.
While we appreciate your desire to improve your knowledge, we feel that English literature is not directly related to your present position and to the goals of this organization.
I am aware of your great interest in literature, and I would like to point out that you could gain advantage to apply for leave without pay.
If you need another information on the above, do not hesitate to keep touch with me at any time.
注：首先要注意本篇备忘录的格式很标准。然后注意这个备忘录的个别词的用法，譬如：be aware of 注意到、当心的意思，point out 指出,request for 要求，in response to 反馈。 例5、Directions: You are a supervisor of a big company. The chief of operations wants to adopt the “punch-in” system to increase productivity. Write a memo to talk about this:
1) Does the “punch-in” system benefit the company?
2) If the company doesn’t adopt it, what else can we do to increase productivity. You should write about 100 words.
To: David Green, Chief of Operations
From: Tony Party , Supervisor
Subject: Comments on the “Punch-in” System
Date: March. 22, 2005
This is further to your memo dated March. 20, 2004, in which you proposed that employees adopt the “punch-in” system.
I fully agree with you that we must increase productivity. As far as your proposal that if the “punch-in” system is adopted, we would have a tighter control over the employees is concerned. However, I don’t think so. I personally think that, to accomplish this, we should give the employees more incentives to work faster. I feel that if we ( the supervisors) could meet with you , we could discuss different possibilities to create such inventiveness.
Your consideration of this suggestion would be appreciated.
注：此篇是对一篇备忘录的回复。生产主管认为实行打孔考勤制度（“punch-in”system），有利于增加生产效率。但督察却不这样认为。他认为“should give the employees more incentives to work faster”。
例6、Directions: You are a manager of administration office naming Vera. M. Bradford. The board of directors have decided to anew the Fitness Center. Write a memo to tell all the employees that:

This will serve as a memo of understanding between Oracle Corporation and LVL. We are enthusiastic about the market opportunity that exists for the combination of talents and resources offered by our firms. Through our discussions over the past weeks we believe we have defined the market opportunity, roles of each firm in the pursuit of these opportunities and the framework of an agreement that would govern our working relationship. It is understood that this document does not constitute a formal agreement. Rather it is intended to communicate the basic understanding that has been achieved to date. If a formal contract is required we intend to negotiate in good faith over a target number of 45 days to
solidify such a formal agreement. It is also understood that we will begin working together immediately in the pursuit of these target opportunities as defined below.
High profile companies with very strong brand recognition represent a unique opportunity for Oracle and LVL. They will all eventually have a world class website which will allow them to sell products over the Internet. Websites that are effective in the marketing and business processes (handling transactions, scalability and manageability) are the exception, not the rule. Consumer marketing companies need the technical software expertise and the web-savvy marketing expertise of a firm like LVL to help design, develop, implement and manage a world class electronic marketing site.
Our intention is to target 3 to 10 such companies together, including all facets of the sales cycle from prospecting to closure, and then jointly win the opportunity to build their next generation electronic sales and marketing website. If successful, Oracle and LVL will each win significant contracts for the development and management of the sites. It is expected that Oracle will be the subcontractor to LVL, given the nature of the agreement that LVL intends to pursue with the account. Regardless of Oracle's role as prime or subcontractor, it is anticipated that the sites will require significant software and services. The exact software, services and pricing for these sites will be negotiated on a
case by case basis through the normal Oracle sales and consulting practices, either directly with LVL or with the end customer if appropriate.
LVL intends to win the rights to develop and own the site for each target
account. In this case, Oracle is a subcontractor and LVL purchases the software and services from Oracle to build the site. Oracle will contract with LVL, to provide the software and services as needed for the project per Oracle's standard and customary rates.
Additionally, Oracle and LVL will jointly invest the pre-sales and upfront marketing resources needed to win the opportunities.
FRAMEWORK OF A PROPOSED AGREEMENT
Oracle has three primary interests in the target opportunities
1. We want to sell software and services to our current competitive market rates.
2. We want to co-brand the sites "On Oracle" technology and have the
rights to reference them in Oracle marketing efforts to establish our Firm as the premier provider for the electronic commerce market.
3. We want to lean from the experience so we can develop a scaleable model for profitably pursuing and winning this business in the future.
In order to accomplish these three objectives we would like to formalize an agreement that defines all necessary specific obligations for both parties. The target is 45 days to decline and complete the agreement.
Specifically with regard to objective number 3, we are each proposing that Oracle pay LVL the sum of $25,000 for at least three and no more than ten of such opportunities. Oracle will devote pre-sales resources to develop and win the opportunities. LVL will use the money to do the same.
It is proposed that Oracle will receive the following benefit from $25,000 per initial opportunity.
1. Co-branding the sites "On Oracle" or some other appropriate mark that indicates that Oracle provided the technology and services to help develop the site.
2. A 2 - 3 page report on each of the 3 - 10 cases indicating all the requirements of the project, what it took to win the job, get the job done, et.
Both of these benefits will be spelled out in more specific terms in the final contract that governs our working relationship. Until that final agreement is reached, Oracle and LVL will work on a case by case basis to pursue the
opportunities together. It is anticipated that the first opportunity to work together is upon us in less that the six weeks we think it will take to get a contract done, we are inclined to work on a "letter agreement" basis for each project. It is incumbent upon LVL to draft a simple letter stating the
deliverables for the $25K fee for each opportunity until an agreement is made final.
We are very enthusiastic about the opportunity. Thanks for working on it with us
